LEGAL), and these pages need review by a lawyer in each launch country before UrbanX goes live.[Company legal name] runs UrbanX and decides how your personal data is used (we are the “data fiduciary” under India’s Digital Personal Data Protection Act, 2023, and the “controller” under the GDPR). This policy explains what we collect, why, who can see it and the rights you have. We don’t sell your data and we don’t show ads.
1. What we collect
| What | Details |
|---|---|
| Account | Email address, name and password. Passwords are stored only as a secure hash; nobody at UrbanX can read them. |
| Profile (optional) | Tagline, area, bio, favourite sports, profile photo and profile banner. |
| Location | Only when you tap “Use my location”: your approximate coordinates, kept in your session to sort the radar by distance and not saved on your profile. Meeting points you pin for meetups, and a community’s area and pin. |
| Activity | Meetups you create or join, communities you’re in, posts, photos, comments, likes, follows and follow requests, blocks and reports. |
| Messages | Direct and group chat messages, stored on our servers so they can be delivered. They are not end-to-end encrypted. Staff read a message only when it’s reported to us or the law requires it. |
| Bookings and payments | What you booked or bought, the amount, currency and payment reference. Card details are handled by our payment provider; we never store your full card number. |
| Technical | IP address, browser and device type, pages requested and error logs, plus the cookies described in our Cookie Policy. |
Photos you upload are re-encoded, and their metadata, including where a photo was taken, is removed before we store them.
2. Why we use it
- To run UrbanX for you: your account, the radar, meetups, bookings, tickets, communities, posts and messages (needed to provide the service you asked for).
- With your consent: your location when you share it, and the optional profile details and photos you add. You can withdraw consent any time by removing them; this doesn’t affect what was done before.
- To keep people safe: handling reports and blocks, and preventing fraud and abuse.
- Because the law requires it: keeping payment and tax records, and responding to lawful requests from authorities.
3. Who can see what
| Who | What they see |
|---|---|
| Anyone, including people who aren’t signed in | Pages for public meetups and communities, including the names and photos of the people going or in them. |
| Signed-in players | Your name, profile photo, banner and follower counts, and meetups you organize that are open to everyone. |
| Followers you accepted | Also your tagline, area, bio, favourite sports, communities, the meetups you’re hosting and your posts. You can message each other. |
| Community members, people going to a meetup | What’s posted on the community board and in its group chat or the meetup’s group chat. |
| Venue partners and organizers | Your name and the booking or ticket you made with them. |
| UrbanX staff | What they need for support, payouts, moderation and security, and nothing more. |
People you block don’t see your posts and can’t message you, and you can’t see theirs.
4. Who we share it with
- Service providers who host UrbanX, process payments and send email for us, under contracts that let them use the data only to provide that service.
- OpenStreetMap map servers, which receive your IP address and the map area when a page shows a map.
- Google Fonts, which receives your IP address when your browser downloads UrbanX’s fonts.
- Authorities, when the law requires it, or to protect someone’s safety.
We don’t sell personal data or share it for advertising.
5. Where your data is kept
Your data is stored with our hosting provider and may be processed outside the country you live in. Where that happens, we use the safeguards the law requires.
6. How long we keep it
- Account, profile and activity: while your account is open. When you ask us to delete it, we delete or anonymise it within 30 days.
- Messages you sent stay in the other people’s chats, shown without your profile.
- Booking, ticket and payment records: as long as tax and accounting laws require (up to 8 years in India).
- Reports and safety records: as long as needed to keep the community safe or to defend legal claims.
- Server logs: up to 90 days.
7. Your rights
You can:
- See and correct your data: most of it is on your profile and Edit profile pages.
- Get a copy or ask us to delete your account and data.
- Withdraw consent, for example by removing your photo or no longer sharing your location.
- Nominate someone to exercise your rights if you die or can no longer do so (India).
- Complain to our grievance officer (see Contact & Grievances), and if you’re not satisfied, to the Data Protection Board of India.
If you’re in the EU or UK, you also have the rights to restrict or object to processing and to data portability, and you can complain to your data protection authority.
To use any of these rights, email [Support email address]. We reply within 30 days.
8. Children
UrbanX is for people aged 18 and over. If we learn that a child’s data was collected without verifiable consent from a parent or guardian, we delete it.
9. Security
We use encrypted connections (HTTPS), store passwords only as hashes, limit who at UrbanX can access personal data and strip location metadata from photos. No system is perfectly secure; if a breach affects your data, we’ll tell you and the authorities as the law requires.
10. Changes
We’ll update this policy when what we do with data changes, and tell you in the app or by email about important changes.
